Sampling Policy

At Shyamvana, we serve as a trusted sourcing and export platform connecting international buyers with verified Indian manufacturers across a wide range of products, including natural stones, building materials, handicrafts, home décor, ceramics, and other export categories. Through our experience in facilitating global trade, we understand that product evaluation through samples is often an essential step in establishing confidence and ensuring product suitability before commercial orders are placed.
In the early stages of our operations, complimentary samples and shipping arrangements were frequently provided to prospective buyers. However, we observed that a significant number of sample requests did not progress into business opportunities, and in many cases, no feedback was received regarding the sample evaluation or commercial proposals. This approach resulted in unnecessary costs for manufacturers and inefficient utilization of resources.
To maintain a sustainable and efficient sourcing process, Shyamvana follows a structured sample policy designed to benefit both buyers and suppliers.
For products involving high material value, custom development, specialized finishes, or expensive raw materials, buyers may be required to bear the sample cost along with the courier or freight charges. For standard or lower-value products, only the shipping charges may be applicable. Buyers may also choose to arrange collection through their preferred courier partner or provide their own courier account for freight on a “to-pay” basis.
This policy has consistently resulted in more serious enquiries, faster decision-making, and stronger engagement between buyers and suppliers, ultimately leading to a higher conversion of enquiries into successful business transactions.
As part of our commitment to building long-term relationships, the cost of eligible samples and/or courier charges may be reimbursed or adjusted against the value of the confirmed commercial order, subject to the terms agreed upon with the respective supplier or manufacturer. This ensures that genuine buyers are not disadvantaged by the initial evaluation process and receive fair value for their investment.
